SLMS PROJECT MANAGER
I.Job Description
1. Initial Planning & Preparation
- Identifying needs & priorities by relevant stakeholders within VAS, the project scope, timelines, milestones, and resource allocation.
- Searching for and coordinating the negotiation process with potential vendor
- Developing and finetuning of the detailed business proposal including funding and manpower requirements for approval
- Coordinating the finalization and signing of contractual documents with relevant stakeholders within VAS and the selected vendor(s).
- Building a project team with the correct mix of resources both internal and external, that supports the project’s success
2. System Design and Configuration
- Coordinating and overseeing the project activities, progress to ensure compatibility, data configuration, migration, and system interoperability as outlined in the Project objectives.
- Coordinating the testing, validation, and user acceptance phases to ensure system functionality meets the Project requirements.
3. Change Management
- Working with the key business leaders (focused on the Academics team) to ensure there are change management strategies in place to support successful adoption of the new systems
- Ensuring appropriate resourcing from within affected functions
- Developing a Change Impact Assessment to ensure all aspects of change have been recognised
- Defining a communications and training strategy & plan
- Defining a training plan to assist faculty members, administrators, students, parents and staff in utilizing the integrated SIS-LMS effectively.
4. Budget and Resource Management
- Tracking project expenditures, managing budgets, and ensuring efficient resource allocation throughout the project lifecycle.
- Evaluating vendor proposals, negotiating contracts, and monitoring vendor performance to ensure deliverables meet quality standards.
5. Quality Assurance and Risk Management:
- Establishing quality assurance processes to verify deliverables and adherence to project specifications.
- Identifying project risks, assessing potential impacts, and implementing risk mitigation plans to minimize disruptions.
6. Stakeholder Management & Reporting:
- Collaborating closely with all relevant stakeholders / project team members and external vendors to align project goals with organizational objectives.
- Managing stakeholder expectations by providing regular updates, addressing concerns, and facilitating feedback sessions.
- Preparing regular progress reports, executive summaries, and presentations for project stakeholders and leadership.
- Maintaining comprehensive project documentation, including meeting minutes, action items, and project artifacts.
7. Training and Ongoing Support
- Responsible for the development and delivery of training programme to relevant stakeholders, users and maintaining such training and support to help them effectively integrate the system into their daily work & teaching practices.
KPIs (Key Performance Indicators):
- Timely implementation of the project: as per the milestones approved in the Project Plan
- System efficiency & performance (reliable, automated, user-friendly, speedy, consistent, error-free)
- User satisfaction (satisfaction of administrators, teachers, students and parents, contribution to retaining teachers, parents & students)
- System maintenance and innovation (ongoing efficiency, continuous improvements, readiness for further updates and innovations)
- Analytics based reporting (data-driven, quality and accuracy of data, multi-level reporting, ability to support decision making)
- Training effectiveness and support (readiness ad fluency of users, adoption rate, digital transformation mindset & culture)
- Security & privacy (the system is secured with proper security solution, clear allocation of access rights, backup data storage, mobile security, data encryption, etc.)
- Alignment with VAS-wide ERP (level of integration, interfacing and compliance with other VAS’s ERP platforms)
- Alignment with MOET/DOET (level of integration, interfacing and compliance with MOET/DOET reporting platforms and database)
II.Requirements
- Bachelor’s Degree in Information Technology, Computer Science, Business Administration, Project Management or a related field and strong knowledge of project management methodologies.
- Proven experience (3+ years) managing complex IT projects, ideally involving SIS and LMS implementations in educational settings.
- Excellent leadership, communication, and interpersonal skills with the ability to influence stakeholders and build collaborative relationships.
- Demonstrated ability to prioritize tasks, manage multiple priorities, and thrive in a dynamic, fast-paced environment.
- Able to commit to a minimum 2-year full time contract.
